This policy explains what InsureTrek, LLC ("InsureTrek", "we", "us") collects, how we use it, and the choices you have. It covers insuretrek.com, the InsureTrek application at app.insuretrek.com, and related services (together, the "Service"). Our Terms of Service are at insuretrek.com/terms.

Who we are

InsureTrek, LLC is a Delaware company located at 8745 Henderson Rd Ste 220, Tampa, FL 33634. Questions about this policy go to hello@insuretrek.com.

What we collect

Information you give us. When you request a demo, contact us, or create an account, we collect details such as your name, work email, phone number, company, and role. Billing is handled by Stripe; we keep billing contact and plan details, not full card numbers.

Producer and agency data. Customers use InsureTrek to manage insurance producer licensing, appointments, and carrier contracting. That means the Service holds producer names, National Producer Numbers, license and appointment records, contracting applications, and supporting documents that customers and their producers submit. Some of this data is pulled from the National Insurance Producer Registry (NIPR) and state departments of insurance on a customer's behalf.

Connected email (Mailbox). If you choose to connect a Google or Microsoft mailbox, or to forward messages to an InsureTrek forwarding address, we receive the email messages you authorize us to access. We use them to identify communications from carriers, NIPR, and state regulators, to display those messages inside InsureTrek, and to extract contracting outcomes such as appointment status and writing numbers. You can disconnect a mailbox at any time from within the Service.

Usage data. Like most services, we collect log data (IP address, browser, device, pages viewed, timestamps) and use cookies and similar technologies for sign-in, preferences, and product analytics.

How we use it

We use this information to provide and support the Service, process licensing and contracting workflows, communicate with you about your account, bill customers, secure the Service and detect abuse, and improve our product. We may send product updates and marketing to business contacts; you can opt out at any time.

We do not sell personal information, and we do not use it for third-party advertising.

Google API Services

InsureTrek's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, when you connect a Gmail account:

• We request read-only access to Gmail and your account email address. We do not request the ability to send, delete, or modify your mail.
• We use Gmail data only to provide the Mailbox feature described above: identifying carrier, NIPR, and regulator communications, displaying them to you and your agency within InsureTrek, and extracting contracting details from them.
• We do not use Gmail data for advertising, and we do not sell it.
• We do not transfer Gmail data to third parties except as needed to provide the feature (for example, our cloud hosting and AI processing providers acting on our behalf), to comply with law, or as part of a merger or acquisition with notice to you.
• Humans do not read your Gmail data except with your permission for support, where needed for security or to comply with law, or on data that has been aggregated and anonymized.
• You can revoke InsureTrek's access at any time at myaccount.google.com/permissions or by disconnecting the mailbox inside InsureTrek. When you disconnect, we stop syncing and delete stored message content for that mailbox within 30 days, except where we must retain it by law.

How we share it

We share information with service providers that process it on our behalf and under contract: cloud hosting and storage, email delivery, payments, analytics, customer support, and AI model providers used to classify and extract information from documents and messages. We share producer data with NIPR, state regulators, and carriers when a customer or producer asks us to submit a filing, appointment, or contracting application. We may disclose information to comply with law, enforce our agreements, or protect rights and safety, and as part of a financing, merger, or acquisition.

NIPR data

Producer data obtained from NIPR is used on a one-to-one basis for the customer it was retrieved for and is not redistributed, aggregated across customers, or resold.

Security

We protect information with encryption in transit and at rest, access controls, logging, and regular review of our practices. InsureTrek maintains a SOC 2 program and completes NIPR's data security review. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as required by law.

Retention

We keep information for as long as needed to provide the Service, meet legal and contractual obligations, resolve disputes, and enforce our agreements. Customers can request deletion of their account data when their subscription ends.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, or export personal information we hold about you, or to object to certain processing. Email hello@insuretrek.com to make a request; we will verify it and respond within the time required by law. If you are a producer whose data is managed by an agency using InsureTrek, we may direct your request to that agency.

Children

The Service is for business use and is not directed to children under 16. We do not knowingly collect their information.

Changes

We will post updates to this page and change the effective date above. If a change is material, we will notify customers by email or within the Service.
